City of Fremantle
Coastal Charm
Internationally renowned, thought-provoking and inspiring, Fremantle’s year-round program of music, theatre, visual art, food and cultural festivals articulate an incredible history, stories and unique place in the world.
The City of Fremantle works with experienced promoters and event organisers to deliver Large and Major scale events at our most prestigious outdoor event venues.
We are proactively seeking a broad range of complementary Large and Major impact events across the City that will support the City’s annual events calendar.
The City of Fremantle distinguishes its large and major events by the following criteria.
The event process and milestones will depend on the type, scale and location of your event within the City.
All documentation and permit requirements will be outlined in the events contract provided after your application has been submitted.
Submit an event application or speak with an Events Officer. Your event dates will be held in the City calendar until the event contract has been signed.
You will be assigned an Events Officer who will be responsible for delivering your event and will be your main point of contact throughout the process. They will communicate expected fees and requirements for hosting events in the City.
Your event agreement will be sent for you for review and signing and includes all information such as fees for hire, and paperwork to submit for event approval.
If you are applying for event sponsorship, you will need the information in your event agreement to apply.
Documentation must be submitted to your Events Officer by the due dates listed in your event agreement.
Your Events Officer will organise an operations meeting for stakeholders and the City’s internal teams.
An invoice and bond will be issued and must be paid by the first day of bump-in.
Once all documentation has been submitted and internal teams have signed off on your event, your Events Officer will issue an Event Approval Letter.
Complete a site handover in person either prior to, or on the first day of bump-in.
On the final day of your bump out, your Event Officer will complete a post-site handover and look at the condition of the venue.
The venue should be cleared of rubbish, equipment and infrastructure prior to the handover being completed.
Your event officer will send you a bond refund form and a post event form to complete to learn about how your event went, your event statistics, and provide feedback on the venue or your Events Officer.
If you have received sponsorship for your event, you will also be required to complete your sponsorship acquittal.
Your Events Officer will organise a debrief following the event.
